Contract templates
Prepare your contract text once, with merge fields and allowed signature methods, and reuse it across many sessions.
In Contracts you create templates that you later assign to sessions.
New template
Click “New template” and fill in:
- “Template name” and an optional “Internal description” (visible only in the panel),
- “Allowed signature methods” (see below),
- “Contract content (Polish)”.
“Create template” saves the template and takes you back to the list. You open the template details from the list.
Content and merge fields
You write the content like ordinary text. Details that change from session to session are inserted with the “Insert field” list in the editor toolbar, at the cursor: fields are grouped into Client, Session, Studio, Payments and Contract (for example the client’s full name, session date, price, photo delivery deadline). When the contract is signed, the fields are replaced with the session’s details.
In “Preview” mode, the “Sample data” switch shows the contract filled with sample details, and “PDF (sample)” creates a file in the layout of the final contract.
Signature methods
In the template settings you tick the allowed methods:
- “Simple acceptance (click)”: the quickest, enough for most sessions,
- “Upload a scan / photo”: the client prints the contract, signs it by hand and uploads a scan,
- “Electronic signature”: a qualified signature, the Polish trusted profile (profil zaufany) or another electronic signature.
At least one method must stay ticked, and the first one ticked is the default. The method must also be turned on in Settings → Contracts and signatures, otherwise the client won’t see it.
When Flyp collects image publication consents from clients, the template settings also have an “Ask for consent to publish the client’s image when signing” switch: Image publication consent.
Statuses, versions and languages
A template has the “Draft”, “Active” or “Archived” status; only an active one can be assigned to a session. An archived template can’t be edited or restored, so to keep working on it, use “Duplicate”. “Versions” shows the history of content changes. If your studio serves clients in several languages, you add translations on the “Additional languages” card, so clients from abroad sign a version they understand. A template with contracts in progress can’t be deleted.
