Signing contracts and paper contracts
Assign a template to a session, send the client a link and sign the contract as the studio, or record a contract signed on paper.
You manage a session’s contracts on the “Contracts” tab in the session details.
Assigning and sending
- Click “Assign contract”, choose an active template, pick the signatories from the session’s clients (the session needs at least one client) and the signature methods for this contract.
- The contract has the “Draft” status. With the “Send” button you enter the recipient’s email and an optional message; each signer gets a personal link.
- The status changes to “Sent”, to “Opened” once the link is opened, and to “Signed” once all parties have signed.
“Copy link” gives a shared link to preview the contract, the same for everyone. Signing is only possible from the personal link in the email. You can also send the contract straight from the “New session” form.
What the client sees
The client opens the link without signing in and chooses one of the allowed methods: accepts with a click, uploads a scan of the signed document or signs electronically. After signing they can download a copy of the contract as a PDF, and they also get a link to it by email.
Studio signature
The studio always signs last. When the clients have signed, the team gets an email, and “Sign as the studio” appears in the contract details. Anyone with the “Sign contracts on behalf of the studio” permission can sign; we record their name and email. Assigning and sending only require session editing rights, so an assistant can prepare the contract and the photographer signs it.
Contract signed on paper
If the client signed the contract outside Flyp, click “Add signed contract” on the “Contracts” tab (in the “New session” form: “I already have a signed contract”):
- add scans or photos of the pages (PDF, JPG or PNG, up to 20 files of 10 MB each) and set their order with the arrows or by dragging,
- enter the signing date and a title,
- if there are several people in the studio, indicate who signed the contract for the studio (they must have signing rights).
The client gets a copy by email. You can add or reorder pages later in the contract details, and a password-protected PDF is saved separately and downloaded on its own. An assistant without signing rights can also record a paper contract; the panel shows who recorded it and who signed it for the studio.
Electronic signature details
For an electronic signature, the panel shows the method, date, the signer’s details from the certificate, the issuer and the certificate’s validity. A certificate from a provider on the EU trusted lists means a qualified signature, equivalent to a handwritten one. A certificate outside those lists may still be valid (the Polish trusted profile, a foreign signature), so the panel shows a flag and leaves the assessment to you. When the trusted lists are temporarily unavailable, the status stays unknown, but the signature always goes through.
Cancelling and deleting
“Cancel contract” disables the signing links; signatures already made stay on record. A contract signed by all parties can’t be cancelled or deleted (the exception is a paper contract, which you can delete, for example if it was assigned to the wrong session). A partly signed contract can be deleted after it is cancelled. Any contract in a session, even a draft, prevents the session from being deleted: first delete the contract (“Delete the contract”) or cancel the session.
