Payment schedule for a session type
Set for each session type whether the client pays in full upfront, an advance payment or deposit plus the rest, or a custom set of instalments. Flyp sends reminders about due dates.
You set the payment schedule separately for each session type, in Session types, on the “Payment schedule” card. There are three modes:
- Full payment upfront: the client pays 100% at booking.
- Advance payment or deposit + remainder: part of the amount (a percentage or a fixed amount) is paid at booking, and the rest a set number of days before the session. In the “Payment type” field you choose an advance payment or a deposit.
- Custom schedule: any number of instalments, each as a percentage, a fixed amount or the “Remainder”, with its own due date (from booking, before the session date or from contract signing) and an offset in days. You can label the first instalment Deposit, Advance payment or Instalment.
The panel makes sure the instalments add up to 100%: until they do, you see a warning instead of the “Sum 100%” badge.
Reminders and payment method
For an instalment due after booking, you can turn on an email reminder to the client, with the number of days before the due date. You can also turn reminders off for the whole studio with the “Instalment reminder” switch in Settings → Notifications and automatic messages.
The “Payment method” of each instalment after booking is “Online or at the studio” or “At the studio only”. An “At the studio only” instalment doesn’t get an online payment link, the client sees it in their portal without the “Pay” button, and in the session it has the “Paid at the studio” badge. The payment at booking is always online.
Deposit, advance payment or instalment
The word from the schedule is what the client sees (booking page, emails, payment page) and what you see in the payments list. An advance payment is refundable if the session doesn’t go ahead. A deposit (art. 394 of the Polish Civil Code) is kept by the studio if the client withdraws, and if the studio fails to perform, the client can claim twice the amount. The “Instalment” label is simply the first instalment of the price. Flyp never chooses a deposit for you.
Instalments in a session
Every new session of that type gets a copy of the schedule. In the session details, on the “Payments” tab, you see the instalments with their statuses: Planned, Link sent, Paid, Overdue, Cancelled or Awaiting link. For an instalment you can send the client a link (“Send link”) or record a payment taken outside Flyp (“Record payment”).
An instalment payable online becomes overdue only after the client has received a link to pay it. Without a link it has the “Awaiting link” status, and the client doesn’t get an overdue email. A payment due “at booking” in a session added in the panel has its due date counted from when the link is sent.
Changing the schedule in a session type does not change sessions that already exist. Settling a specific session (a discount code, a voucher, a payment of any amount) is covered in Payments, refunds and payment documents.
