Automations
Scenarios that, after an event in your studio (such as a confirmed booking), send an email, assign a questionnaire or change the session status on their own.
You’ll find Automations in Settings, in the “Integrations and automations” group. They work on every plan, with no limit on scenarios. You need the studio configuration permission.
Standard messages (booking confirmation, session reminder, gallery ready and others) are sent without automations. You turn them on in Settings → Notifications and automatic messages. Automations are for rules beyond that standard.
New scenario
Click “New scenario”, give it a name and choose a trigger:
- Booking confirmed, Booking rejected,
- Session created, Session completed,
- Gallery published, Payment received,
- Contract signed, Questionnaire submitted.
You can’t change the trigger once the scenario is created.
Steps
Add steps in the order they should run:
- Send email: a chosen template to the address you enter in the step,
- Assign questionnaire: emails the questionnaire to the session’s client in their language; it isn’t sent again if already assigned,
- In-app notification: for all studio members,
- Update status: sets the session status,
- Wait: a delay in minutes, hours or days before the next step.
Steps that act on a session (assigning a questionnaire, changing the status) aren’t available for triggers without a session, that is a rejected booking and a submitted questionnaire.
Example
“Booking confirmed” → “Assign questionnaire” (your pre-session questionnaire). The client gets the form right after booking, without you lifting a finger.
Run history
The “Run history” tab shows every run with its status, and the run details tell you which step failed and why. You can pause a scenario with the switch on its card, without deleting it.
