Questionnaires
Collect information from clients before the session with a form they fill in without signing in.
Questionnaires are pre-session forms: a wedding shot list, details for a newborn shoot, the plan of the day and the like. You build them once and then assign them to clients or sessions.
Building a questionnaire
On the “Questions” tab you add questions of these types: short text, long text, number, date, single choice, multiple choice or dropdown. You can mark each one as required and add a hint, and change the order with the arrows. On the “Settings” tab you can allow the form to be filled in more than once.
Statuses
A new questionnaire has the “Draft” status: you can edit it freely, but clients can’t fill it in yet. “Activate” allows responses to be submitted. “Archive” hides the form and blocks filling it in, but submitted responses stay; from the archive you can go back to a draft.
Assignments
On the “Assignments” tab you create an assignment to a client or a session. Flyp emails the client an invitation with the link automatically; for a session, it goes to the session’s first client. The client fills in the form without signing in, and a reminder is sent automatically (you set the timing in Settings → Notifications and automatic messages). You can also copy the link (“Copy link”) and send it another way. An assignment can have an expiry date and a status: pending, completed or expired.
You can also assign a questionnaire automatically: in Automations, with the “Assign questionnaire” step, and in the “New session” form (sent after the session is created).
Responses and translations
Responses are on the questionnaire’s “Responses” tab; they aren’t copied into the session notes. The client also sees their questionnaire in the client portal. If your studio serves clients in several languages, on the “Translations” tab you add the questions in other languages, and when assigning you choose the form language (or “Auto (client’s browser language)”). Deleting a question doesn’t delete the answers already given.
