Availability and calendar
Set working hours and exceptions, the availability of photographers on your team, and browse sessions in the calendar.
In Availability you set your weekly schedule, exceptions and online booking rules, and the Calendar shows the result: sessions, bookings and free slots in a month, week, day or year view.
Working hours
On the “Working hours” card you set the hours in which you take bookings on each day of the week; a day can also be “full day” or “day off”. Save with the “Save schedule” button. This schedule applies until you change it with an exception.
Exceptions
Exceptions are holidays, blocks and days with different hours. You add them for a single day or a date range and choose the type:
- Blocked: no bookings that day,
- Custom hours: different hours, set to “replaces the weekly hours” or “in addition to the weekly hours”,
- Full day.
An exception can be “One-time” or “Every year” (for example public holidays). The mini calendar in Availability shows standard days, days with an exception and blocked days.
Calendar
In the Calendar, sessions are coloured by status, and pending bookings and bookings awaiting payment are visible in every view. In the week and day views, “Edit working hours” lets you drag blocks of hours on the timeline, and “Edit availability” takes you to Availability.
Specific dates for a session type (for example seasonal mini sessions) are added in the session type editor, one by one or as a series. Flyp checks for clashes with sessions, bookings and Google Calendar, and lets you add only the free dates or all of them despite clashes.
Google Calendar and the iCal feed are covered in Google Calendar and the iCal feed.
Photographer availability
Every photographer on your team can have their own working hours and exceptions (time off, different hours). At the top of Availability, the “Whose availability” switch lets you pick the studio or a team member:
- the owner and people with the “Team availability” permission change the studio’s schedule and every photographer’s,
- a photographer with the “Own availability” permission sees and changes only their own schedule.
A photographer without their own schedule works the studio’s hours. “Set your own hours” copies the studio schedule as a starting point, and “Back to studio hours” removes the photographer’s own schedule (exceptions stay).
A photographer’s hours apply to the session types they are assigned to (the “Photographer” card in the session type). Online booking for such a type shows only dates that are free both in the studio and for the photographer, and their time off closes the day, including for date proposals from clients. Photographers’ exceptions appear in the Calendar as badges with their name, such as “Anna: day off”.
